Prohire – Rental Terms & Conditions

1. Use of Equipment

Under no circumstances may Prohire computers or monitors be used on beaches, dunes, or in sandy environments without prior written consent from management. Doing so may result in full liability for any resulting damage.

2. Payment Terms

  • All invoices must be paid in full before any rental equipment will be released.
  • New clients without an account are required to pay a 100% deposit upfront.
  • Accepted payment methods: Cash, EFT, PayToday (no card payments).
  • Proof of payment must be sent to hire@prohire.cc.
  • The individual or representative accepting a quote is fully responsible for payment.

3. Rental Charges & Duration

  • Charges apply from the time of pick-up to the time of return.
  • No discounts or refunds will be issued for early return of equipment.
  • Late returns will incur a 5% penalty on the total invoice amount.

4. After-Hours & Weekend Access

  • R450 surcharge after 18:00 on weekdays and Saturdays.
  • R600 surcharge after 20:00 on Sundays and public holidays.

5. Equipment Condition & Responsibility

  • Equipment is provided fully charged and with all necessary accessories.
  • The Rentee is responsible for safe use and return in original condition.
  • Repair or cleaning charges may apply if returned dirty or damaged.

6. Insurance & Liability

  • All standard gear (excluding drones) is insured.
  • The Rentee is liable for 10% of the replacement value, with a minimum excess charge of R200.
  • Theft requires submission of a police case number upon return.

7. Drone Rentals

  • Drones are not insured.
  • No drone license is required to rent.
  • Rentee is liable for 100% of replacement value in case of damage, breakage, or confiscation.

8. Uninsured Risks

  • Theft from an unattended or visible/unlocked vehicle.
  • Dismantling, tampering, or confiscation.
  • Loss of data or recordings.

9. Equipment Failure

Prohire’s liability is limited strictly to refunding the rental fee of the affected item. We are not liable for any production-related losses.

10. Collection & Return

  • Rentee is responsible for timely collection and return.
  • Courier/freight costs are at the Rentee’s expense.
  • Late returns result in continued rental charges and penalties.

11. Cancellations

  • Cancellations within 24 hours of booking are subject to a cancellation fee.
  • Repeated late cancellations may lead to loss of reservation privileges.

12. Non-Signature Acceptance

Use of equipment implies agreement to these terms, even without a physical signature.

13. Legal & Collections

  • The Rentee consents to jurisdiction of the Magistrate’s Court.
  • Judgment may be obtained for unpaid accounts after 7 days of written demand.
  • Legal and admin fees apply for handed-over accounts.
  • Interest is charged on all overdue accounts.

14. Studio Usage – Rental Inclusions & Terms

Included:

  • Infinity Curve (10m x 3m x 4.2m)
  • Integrated sound system
  • 52” monitor workstation
  • Movable background walls
  • Styling area (steamer & hangers)
  • High chair / bar stool
  • On-site parking
  • Standard cleaning
  • Lighting grid & rigging (if available)

Important Notes:

  • Rental time is fixed – be punctual.
  • Early access requires N$1,000.00 setup fee (must be pre-booked).
  • Overtime billed at N$500.00/hour (rounded up).
  • Sunday/Public Holiday bookings incur N$500.00 surcharge (excl. VAT).
  • Weekend gear requests must be arranged on weekdays (08:00–17:00).

Optional Add-Ons:

  • Photo/video gear rental
  • High-speed Wi-Fi
  • Snacks & drinks (available Mon–Fri, 08:00–17:00)
  • Custom curve painting (N$50.00/m² + labour)
  • Assistant or tech support
  • Cleaning for glitter, sand, smoke, etc.
  • Damage or replacement costs

Client Responsibilities:

  • Provide own crew & ensure safety.
  • Report and pay for damage, loss or theft.
  • No painting, drilling, or adhesives without written approval.
